This Privacy Policy explains how personal data is processed when users visit chatassist24.com, contact ChatAssist24, subscribe to commercial communications, request support, use the plugin demo or purchase a licence through Freemius.

Personal data processed

Depending on how you use the website or product, we may process the following categories of data:

Identification and contact data: name, surname, email, company, country, message submitted or form data.
Commercial data: interest in the product, plan consulted, communications, demo requests or support requests.
Licence and support data: product purchased, plan, licence status, activations, associated domains, issues, tickets and support communications.
Technical data: IP address, browser, device, operating system, pages visited, security logs, cookies and online identifiers.
Transactional data handled through Freemius: order reference, payment status, country, currency, billing data, VAT ID if provided, and data necessary for invoicing, fraud prevention, subscription management, licences, renewals or refunds.

We do not request special categories of personal data.

Purposes of processing

Data is processed for the following purposes:

Replying to enquiries submitted through forms, email or support channels.
Managing information requests, demos, quotes or commercial communications.
Managing licences, activations, updates, support and operation of ChatAssist24.
Managing newsletters and commercial communications where there is consent or another valid legal basis.
Analysing website usage through tools such as Google Analytics, Google Tag Manager, Meta Pixel, Hotjar or Microsoft Clarity, always according to the applicable cookie consent.
Displaying videos or embedded content, such as YouTube.
Operating the ChatAssist24 demo on the website.
Managing payments, invoicing, subscriptions, renewals, licences, taxes, fraud prevention and customer portal through Freemius.
Complying with legal, tax, accounting and security obligations.
Defending rights against claims, chargebacks, misuse or incidents.
Legal basis

The applicable legal bases are:

Performance of a contract or pre-contractual steps, for enquiries, purchases, licences, support and updates.
Consent, for newsletters, non-essential cookies, analytics, marketing, pixels or commercial communications where required.
Legitimate interest, for security, abuse prevention, service improvement, customer care and defence against claims.
Compliance with legal obligations, for invoicing, accounting, tax, fraud prevention and document retention.
Prior contractual relationship, where communications about similar products or services are permitted, always with a simple and free opt-out mechanism.
Freemius, payments, licences and invoicing

Paid ChatAssist24 licences are sold through Freemius. For transactions processed through its checkout, Freemius may act as reseller, Merchant of Record, payment platform, invoicing entity for the buyer and manager of applicable indirect taxes such as VAT, sales tax or other taxes depending on the buyer’s country.

When you purchase a licence, the data required for payment, invoicing, fraud prevention, subscription management, automatic renewals, customer portal, licences and refunds may be processed by Freemius and its providers. ChatAssist24 may receive from Freemius the data required to manage the licence, support, activations, renewals, incidents or cancellations.

Although Freemius processes buyer payment and invoicing, Rubén Teruel Córcoles remains responsible for the product, its documentation, functional support, updates and own communications relating to ChatAssist24.

Automatic renewals

Paid licences are annual and renew automatically unless cancelled before the renewal date. Buyers can manage subscriptions, invoices, licences and payment details through the customer portal provided by Freemius or through the links sent after purchase.

Uninstalling the plugin or not using it does not by itself cancel the renewal. Cancellation must be completed through the customer portal or requested through the available support channels.

Recipients and providers

Personal data may be accessed by providers necessary for the operation of the website and business, including:

Hosting and technical providers.
Email services.
Support and ticketing tools.
Analytics and marketing providers: Google Analytics, Google Tag Manager, Meta Pixel, Hotjar or Microsoft Clarity.
Video or embedded content platforms, such as YouTube.
Freemius, Stripe, PayPal or other technical or financial providers related to checkout, payments, invoicing, licences, taxes, fraud prevention or customer portal.
Tax, accounting or legal advisors where necessary to comply with obligations or defend rights.
International transfers

Some providers may be located outside the European Economic Area, especially in the United States. In such cases, appropriate safeguards will be used under applicable law, such as adequacy decisions, standard contractual clauses or other valid mechanisms.

Regarding Freemius, its public documentation states that its DPA incorporates the 2021 Standard Contractual Clauses, although it also retains historical references to the former Privacy Shield. As a precaution, this Policy does not state that Freemius is currently certified under the EU-U.S. Data Privacy Framework unless expressly and verifiably confirmed.

Data retention

Data will be retained for as long as necessary for the relevant purpose and, afterwards, for the legally applicable periods.

Enquiries with no subsequent relationship: up to 12 months.
Customers, licences, support and contractual communications: during the relationship and applicable limitation periods.
Tax, invoicing and accounting data: for the legally required periods.
Newsletter: until consent is withdrawn or unsubscribe is requested.
Cookies and analytics: according to the duration indicated in the Cookie Policy and consent tool.
Security logs: for as long as reasonably necessary for security, auditing or incident management.
Rights

You may exercise your rights of access, rectification, erasure, objection, restriction of processing, portability and withdrawal of consent by sending a request to:

The request must reasonably identify you and specify the right you wish to exercise. You may also lodge a complaint with the Spanish Data Protection Agency or your competent supervisory authority if you believe the processing does not comply with applicable law.

Security

Reasonable technical and organisational measures are applied to protect data against unauthorised access, loss, alteration, improper disclosure or destruction. However, no Internet-connected system can guarantee absolute security.

Children

ChatAssist24 is not directed at minors. If personal data of minors is detected without a sufficient legal basis, it will be deleted or blocked.

Changes to this policy

This Privacy Policy may be updated to reflect legal, technical or business changes. The current version will always be the one published on this page.
